Identify the order stage before requesting a return

A Superbuy return enquiry begins with the location and status of the goods. An unpaid order, a purchase already placed with the seller, an item in the warehouse and a parcel delivered overseas require different handling. First record the order number, the exact item and option, the current status and the latest timestamp. A general request to refund everything can obscure which part of the transaction you want reviewed.

Keep product returns separate from parcel claims and payment withdrawals. A wrong size visible in warehouse photos is an item-level issue. Damage after international delivery may involve different evidence and a transport claim. A remaining account balance is a payment matter. Categorising the problem correctly helps you ask the right question and avoids assuming that approval in one process automatically approves every other refund.

Check the applicable terms immediately

Read the return conditions for the exact product and seller before purchase, then check the process displayed in your account when an issue arises. Customised, used, sealed, pre-order and other special goods may have different conditions. Do not treat a long storage allowance as a long return window. Warehouse storage and seller after-sales rights serve different purposes and can run on different clocks.

Public policy pages can describe different services or use wording that needs clarification. This guide therefore does not apply one universal deadline to every order. Ask which deadline applies, what event starts it and whether it uses hours, calendar days or working days. Record the answer with the order. If you discover a problem, raise it promptly instead of waiting to resolve an ambiguity at the very end of a possible window.

Preserve the product and its packaging

Before a return decision, avoid requesting removal of labels, disposal of packaging or changes that could affect the item's condition. Keep accessories and set components together. If the product is still in the warehouse, make the intended hold or return enquiry clear before you submit the item for international shipping. Once a parcel has left, an item-level correction may become much more complicated.

Document what arrived and what was ordered. Useful evidence includes the selected option, seller description, order confirmation and warehouse photos showing the discrepancy. A photo of a missing accessory should be accompanied by the list of components expected for that exact variation. Do not compare your item with an unrelated listing or a promotional image from another seller. The evidence should let another person understand the mismatch without guessing.

Turn a QC problem into a precise request

Describe the observable issue rather than making a broad statement that the product is bad. Specify the wrong colour, missing piece, visible damage or measured difference. If a measurement matters, state the measurement points and compare them with the seller's stated dimensions. Lighting, perspective and different measuring methods can otherwise make two images appear more contradictory than they are.

If the existing photos do not resolve the issue, request one targeted additional view before deciding. State the angle, label or measurement needed. Keep the cost of extra inspection separate from the product refund under discussion. A paid photo is useful when it resolves a decision; it does not itself guarantee return eligibility or prove properties that photography cannot establish, such as internal performance or long-term durability.

Distinguish cancellation from a seller return

If the purchase has not been completed, ask whether cancellation remains possible at the current stage. If the seller has already dispatched, the next step may involve waiting for receipt and reviewing a return process. Do not assume that deleting a saved product or changing a spreadsheet status cancels a real order. Use the official account process and keep its confirmation.

When a return requires seller agreement, record whether approval is pending, approved or refused. Save any conditions concerning address, packaging, shipping payment and the expected refund. Do not independently send goods to an address taken from an old conversation. The handling instructions should belong to the current order and case. If the seller proposes an exchange instead, make clear whether you accept that alternative or still request a refund review.

Compare the proposed refund with every cost line

Separate the product amount, domestic delivery, return freight, purchasing service and optional services. Identify which components the decision says will be refunded. This avoids comparing a product-only credit with a total that also included transport and completed work. Request clarification when the breakdown is missing, especially if several products share an order or a domestic shipping charge.

For a planning example, suppose an item cost 100 units, domestic shipping cost 10 and an optional service cost 5. A proposed refund of 100 should be recorded as a product refund, with the remaining 15 marked for clarification or as excluded according to the actual decision. These are illustrative numbers, not Superbuy rates or a promised refund outcome. Your worksheet should show the approved components and the evidence for each.

Track return movement independently of money

A return request, a warehouse dispatch and a seller's receipt are separate milestones. Keep the return tracking reference, the dispatch date and the visible receipt event. An approved request is not proof that the item has reached the seller. A delivered return is not necessarily proof that the seller's refund has been processed. Keep those statuses distinct so follow-up questions address the stage that is still open.

If an exchange is agreed, create a linked record for the replacement rather than overwriting the original item. Record the new option and expected dispatch information. Review the replacement's warehouse evidence when it arrives. Reusing the original acceptance decision would hide the fact that a different physical item was supplied. The same principle applies when only one part of a set is replaced or refunded.

Reconcile account credit and withdrawal separately

Once a refund is approved, check the amount, currency and destination shown in the account. If a credit appears in the balance, it is not automatically a completed transfer back to the original bank or card. Record the account credit first. A separate withdrawal or payment-provider refund may have its own eligibility and processing steps. Keep its reference connected to the original case without treating the two events as identical.

Compare the final amount received with the approved amount, allowing for explicitly documented fees and currency conversion. If the figures do not reconcile, provide the case number and transaction references when asking for clarification. Avoid opening repeated requests with different totals. One clear ledger showing the original payment, approved refund, account credit and any later withdrawal is easier to investigate than several disconnected screenshots.

Handle overseas parcel issues with the right evidence

For a parcel already delivered, retain the outer packaging, shipping label and photographs of the contents and any visible damage. Record the delivery date and raise the issue through the relevant after-sales process promptly. Do not dispose of evidence while a carrier or platform may need to inspect it. A seller return and a transport-compensation request can involve different conditions and responsible parties.

Review any insurance or compensation terms attached to the selected route and service. Do not assume that insurance covers every item, every cause or every cost. Record the claimed component, the requested evidence and the case status. If import taxes or carrier handling charges were also paid, those belong to a separate review with the relevant authority or provider; a product refund does not automatically reverse them.

Close the case with a complete record

A practical return worksheet contains the product option, reason, evidence, applicable deadline, request date, approval, return tracking, seller receipt, approved amount, credit destination and final settlement. Assign one next action and a review date to each open case. Keep unresolved cost lines visible instead of marking the entire case finished as soon as one status changes.

Before closing, confirm whether you received a replacement, an account credit or an external refund, and whether any agreed follow-up remains. Use the result to improve future product research: a clearer size note, an earlier measurement request or better packaging instructions may prevent the same issue. Treat that outcome as evidence about the specific order. It does not establish a universal return entitlement or refund time for every future purchase.
